Employer FAQs

How long should my scheme be open to my employees?

To ensure the smooth running of a scheme and encourage take-up we would recommend an election window of no more than a month. This targeted approach will influence the success of the scheme. This can be discussed with us when setting up your scheme

What happens at the end of the loan period?

There is no automatic entitlement for employees to take ownership of the cycles and safety accessories at the end of the loan period. However, employers may choose to give employees the option to purchase the equipment. This can be discussed with us when setting up your scheme.

What is the maximum value of equipment an employee can obtain through cycle to work?

The Office of Fair Trading has issued a Group Consumer Credit License allowing any employer to run a cycle-to-work scheme. The license allows employees to hire equipment up to the value of £1,000 inclusive of VAT. An employer can then choose to offer whatever range of values within the £1000 limit that they deem appropriate. Please speak to our team to find out more.

What happens if an employee is on long term sick or maternity leave?

If employees are on maternity, paternity, adoption leave or long-term sick and still receiving their pay, you will freeze payments until they return to work.

Will my employees receive any aftercare on the scheme?

Every colleague that takes part in Cycle2Work will receive:

Unlimited Lifetime Safety Checks on all cycles obtained through the scheme
This means unlimited checks for wear and damage, ensuring the bike is safe to ride. We will inspect points across all key areas of the cycle: frame, saddle, handlebars, wheels, brakes and drive train.

We take pride in. the bikes we design, build and sell and are happy that all of our bikes are the highest quality. That’s why we offer a Lifetime Warranty on the frame and rigid forks of all Halfords and Halfords exclusive brands.

14 Days FREE insurance
We don’t want anything to stop you cycling if your bike is stolen or damaged. This is why we will cover your bike for the first 14 days for up to £4,000, as well as providing cover for theft of your bike at home, away from home or in a vehicle, and accidental or malicious damage to the bike.

Do my employees really have to cycle to work every day?

In short, no! The government guidelines state that employees should use their bike and accessories for commuting for at least 50% of its usage however they do not have to log their bikes mileage, and we thoroughly encourage them to use it in their spare time!

Managing your scheme

1. Employer registration - call 0800 458 7929 or e-mail info@flexiblebenefits.coop where we can talk you through this process

2. Promotion - We will help you spread the word to your employees

3. Election window - you can decide when you want your election window open, whether it just be a week, or longer.  You can also have a rolling window which we can discuss with you how this works, it just means your windows are open for employees to sign up any time of the year.

4. Transfer of Ownership - At the end of the Hire Term, employers may choose to transfer ownership of the equipment to the employee, and your local Co-operative Flexible Benefits account manager will support this process.

Savings

The initiative is a salary sacrifice scheme, which allows employees to make Tax and National Insurance savings of between 32% and 47% on the cost of a new bike and accessories.
